Step by step
Six steps to the right builder
- 01
Decide rent, own or both
Rental builders and custom builders are often different companies. Know which you need before you shortlist.
- 02
Shortlist 3 to 5 builders
Keep builders who build your booth size and work your show's city. Drop the rest early.
- 03
Send the same brief to all
Show, dates, size, goals, what the booth must include and a budget range. Identical briefs give comparable quotes.
- 04
Compare line by line
Put design, build, graphics, freight, install, dismantle and storage side by side. The cheapest total often leaves lines out.
- 05
Check references and insurance
Speak to two recent clients and get the insurance certificate your venue asks for.
- 06
Agree it in writing
Scope, revisions, payment schedule, cancellation terms and who runs your booth on the show floor.
The checks
What separates one builder from another
Six things you can check before the first call. The last column counts the builders in our US directory who show each one today.
| Check | Why it matters | Builders in our directory |
|---|---|---|
| Google rating and reviews | Reviews from past exhibitors are the closest thing to a reference you do not have to ask for. | 207 of 255 |
| Trade body membership | Membership of an exhibit industry body shows a builder is established in the trade. | 178 of 255 |
| 3D renders with the proposal | Renders let you see the booth and fix it before anything is built. | 101 of 255 |
| Named clients | A client list you can check tells you the size of shows the builder handles. | 234 of 255 |
| 20 years or more in business | Longevity is not quality, but it means the builder has run many show seasons. | 168 of 255 |
| ISO certification | A certified quality process matters most for large custom builds. | 11 of 255 |
Filter every builder by city and service in the booth builder directory.
Before you sign
10 questions to ask a booth builder
- 01
Have you built booths at my show and venue? Can I see photos of them?
- 02
Who designs the booth: your own team or a partner?
- 03
Do you build in house or subcontract the fabrication?
- 04
Is install and dismantle at the venue your crew or a labor contractor you book?
- 05
What exactly is in the price: design, build, graphics, freight, install, dismantle, storage?
- 06
How many design revisions are included before the price changes?
- 07
What is the payment schedule, and what is due if I cancel?
- 08
Who is my contact on the show floor during move in?
- 09
Can I speak to two exhibitors you built for in the last year?
- 10
What insurance do you carry, and can you send the certificate the venue asks for?
Put the same questions to every builder with our trade show RFP template.
Walk away when
Red flags in a booth builder
- A single total with no line items

- Cannot name a show they worked in the last year
- Will not put install, freight and storage in writing
- Pressure to sign before you have compared quotes
- Full payment asked up front

Booths built by vetted builders

Photos belong to the builders who built them. A brand is named only where the builder's own portfolio names it.
Questions
Common questions
How do I choose a trade show exhibit company?
Decide whether you rent or own, shortlist 3 to 5 builders who build your size and work your show's city, send each the same brief, compare the quotes line by line, then check references, insurance and the venue's contractor rules before you sign.
How many quotes should I get for a trade show booth?
Three to five. Fewer gives you nothing to compare; more takes weeks to review without changing the outcome much.
What should a booth builder's quote include?
Separate lines for design, build or rental, graphics, freight, install and dismantle labor, and storage, plus the number of design revisions and the payment schedule.
Should I pick a builder near my show or near my office?
Near the show matters more for install, dismantle and freight; near your office matters for visits to the shop during the build. Many builders work shows across the country.
